Tips and tricks: get the most out of the PSI portal

When you’re using the PSI portal daily, or even weekly, there’s a few things you can do to make the ordering process even quicker! Here’s a few tips and tricks that you might not be using yet.

1. Setting up your default requests
If you have a company account, you can set default requests that exist for your whole company or for particular regions. This means, every new order you place, all the pieces of property information will already be selected. This saves time and also means team members know exactly what they need to get every time.

You’ll need to ask your administrator user to login and go to the Admin tab.
In the Admin tab, there’s an option for Set Default Requests.

Here, you can change the region (if this applies to you) and then tick which pieces of property information you’d like to have pre-selected for every order.

Bare in mind you can always take a request off or add something extra on so you’re not locked into your selection every time. Once you’ve ticked what you need, click Update to save your new settings.

2. Ordering Soil & Survey
Did you know you can order your soil report or site survey while ordering all your other property info? When you place the order, we’ll liaise with your service provider on your behalf to get everything organised.

That’s just one less step for you in the pre-site start process with one less form or phone call to make. It makes it really easy too if a property isn’t titled yet, because when the properties ready we’ll contact your provider so you don’t need to remember to do it. Once the reports come back, it’s all in a central place for you to access.

If you think this would work for your team, simply let us know. We can make sure your engineer is setup on the PSI portal (which a lot of them already are) and you can order away! We can set up multiple suppliers as well.
3. The site plan
As you’re completing your order, sometimes you’ll get asked to upload extra documents. These extra documents are what council requires or what we need to verify untitled property addresses.

The site plan can be a confusing request for some and can put you off ordering. The good news is, it doesn’t need to be anything fancy or highly detailed to get accepted. It’s asked for by council for certain requests, like planning advice. And really, they just need to get a rough idea of where the building is being placed on the lot. If you’re ever not sure, upload what you have and we’ll check it and let you know if we need a bit more detail. You can view a sample of a basic site plan here.
4. Adding requests to your order
We all know how it feels to be busy and forget something. So we've made it easy for you! Whether your order is complete or pending, you can still add more requests. Simply go to the job and click the Add Requests button. The ordering screen will open back up and you can follow the normal steps to order.

This also applies when information comes back in that requires another piece of documentation. If you’re on a company account, we’ll add it for you. For example, if you need a flood certificate we’ll add it to your order to save you time. However, we only do this if you’re on account and if you’re happy for us to order extras. Otherwise, you can jump back into the job and add the requests yourself.

So in short – you don’t need to lodge a new job!
5. Utilising the property report
You might have noticed a property report has been coming through with new orders. This report has all the information you would usually find on land.vic, so make sure you use it to your advantage and don’t waste time doing an extra search online.

The information we send is fetched straight from land.vic when you order, so it’s always up to date and accurate. It comes with a copy of the planning schemes and overlays too so you can send it straight off to drafting.

6. Send information where it needs to go
When you place an order, the information will go to your email (the person that lodged). In some instances, this isn’t the right person. Your sales team start the job but the permit officer or building surveyor might actually be the one that wants this information.

If this is the case, go to the Admin tab and then choose Set Delivery Address.
You’re able to choose the region (if this applies to you) and then the requests you want emailed. You have the option of piece by piece (as soon as it comes back from the authority) and at the end of the job only; and then where you want them to go.

For example, you might want the title package to come through straight away, but the other information you may find it’s not vital and be happy for it to come through when all the whole property information package is complete.
